Frequently Asked Questions

1. Where do I acquire an application and Hand Hygiene Validation Form for Physician Sponsored Student Onboarding Process?

2. Does BayCare assist with obtaining a physician sponsor/preceptor?

It is the student’s responsibility to obtain and secure a physician (MD or DO) sponsor. Students will need to work with their academic coordinator or contact different BayCare offices/departments until they locate a physician willing to precept them. A list of BayCare facilities and their contact information can be found under “Locations” on BayCare.org.

3. Who do I contact at BayCare if I have questions concerning the Physician Sponsored Student Onboarding Process?

APRN, PA, AA, CRNA, RNFA, ST-FA, and CNM students: physiciansponsoredst@baycare.org

Medical Students: GMEMedicalStudentRequests@baycare.org

Visiting Residents/Fellows: GMEVisitingResidentsRequests@baycare.org

4. If I am a BayCare team member, do I still need to submit the required Affiliation Agreement documentation to my school?

All students, regardless of the student being a BayCare team member or not, are required to follow all the requirements in the Affiliation Agreement. BayCare’s Affiliation Agreements makes no exceptions for BayCare team members. Student’s team member files do not cover them while in the role of a student.

5. Does my sponsor need to be a physician (MD or DO) or can a mid-level provider (APRN, PA, etc.) precept me/sign the application?

All Physician Sponsored Students are required to have an MD or DO as a sponsor. The physician sponsor can delegate the precepting responsibilities to a mid-level provider (APRN, PA, etc.), but the physician will have ultimate responsibility for the student while the student is in the facility.

6. If I am a BayCare team member, do I need to register for a NE# or can I use my employee account while in the role of a student?

BayCare team members are not permitted to use their employee accounts while in the role of a student. Team members are still required to register for an NE# to access the EMR while in the student role. Team members will not be granted access to the Online Learning Center on their NE# therefore team members need to complete the required training on their employee account.

7. Who is responsible for signing my Hand Hygiene Validation Form?

The Hand Hygiene Validation Form must be validated by a clinician. Any clinician can validate your hand hygiene. It does not need to be a BayCare clinician.

8. Where do I obtain a BayCare badge?

Organizational Development and Learning does not handle badging. Students are required to wear a school issued ID at all times while on rotation. For BayCare badges, Students are required to follow the student badging requirements of the facility their rotation is taking place at. Students will need to speak with security/the site supervisor at the facility to discuss their badging requirements for students on the first day of their rotation.

9. Do I only need to submit one application for all my rotations, or do I need to apply for each rotation I want to complete?

Physician Sponsored Students are required to apply for each rotation they wish to complete at BayCare. One application does not cover all the student’s rotations.
